Welkin System Maintenance Recommendations
Maintaining the Welkin Environment should be done on a periodic basis to ensure the system is configured appropriately and any unused configurations are removed. Below are several areas the CSM Team recommends analyzing.
Admin Maintenance
- Review the “Users” section to ensure the appropriate users have been assigned seats and User Attributes
- Also ensure the correct Roles, Regions, and Territories have been assigned for the appropriate environment
- Review the “API Clients” section to ensure the correct APIs have seats assigned
- This is especially important for any APIs that may have been created for testing purposes
Designer Maintenance
- Make sure Labels have been added to Automations and Message Templates for quick filtering
- Add Labels to the Profiles and CDTFs in Profile Data Views and CDT Data Views so the field names appear correctly in Care
- Remove any unused Programs, CDTs, Data Views, Automations, Assessments, and Encounter Templates that may have
- been created during implementation or for testing purposes and are no longer needed
- Periodically audit Security Policies to ensure each one has the correct permissioning
Assessment Deletion Process
Did you know if an Assessment is accidentally completed on the wrong patient chart it can be deleted? If this happens:
- Open a JSM ticket with Support
- Provide the patient’s and Assessment’s IDs. Both items are located in the URL and can quickly be retrieved by clicking on the Copy URL button at the top of the Assessment. The Assessment ID will be visible at the end of the URL once it is posted in an application such as JSM. The entire link can be placed in the Support ticket.
